Reservations

Reservations may be made by:

All reservations will be acknowledged with a confirmation on a first-come, first-served basis.

You are responsible for verifying everything on your confirmation is accurate and complete, including dates of travel, options selected, and that each traveler name matches the relevant passport or government issued ID used for travel. Collegiate Athletic Travel cannot accept responsibility if we are not notified of inaccuracies within 7 days of emailing the confirmation. 

Game Tickets

Game tickets are included in the travel package. If you do not need a game ticket, you may deduct $90 per ticket from the price of the package

Special Children's Pricing

Children’s rates are limited to those 12 years of age or under sharing a room with at least one adult and using existing bedding configuration

 

If the room is occupied by 1 adult and a child/children, the adult will be charged the single price and the children the child’s price.

 

If 2 adults and a child/children occupy a room, the adults will each be charged the double price and the children the child’s price.​

Air Arrangements

Airfare may be purchased through Collegiate Athletic Travel. All carriers are independent operators and are not owned, managed, or operated by Collegiate Athletic Travel. Your airline ticket is a contract between you and the air carrier only, even if you purchase through Collegiate Athletic Travel. By purchasing your air services through Collegiate Athletic Travel you waive all liability forCollegiate Athletic Travel for such air services.

Collegiate Athletic Travel is not responsible if an airline cancels, reschedules, or delays a flight for any reason. If you purchased air through Collegiate Athletic Travel, we will try to assist in making new arrangements, provided you have not already checked in with your airline for your first flight segment. After check-in, you must work with the airline directly to reach your destination or to make any alternate arrangements, including amendments to return services. Airline fees often apply for modifications to air schedules not related to airline-imposed flight cancellations, reschedules, or delays. These fees will be payable to the airline directly at time of request.

If you miss your departure flight or connection, it is your responsibility to work with the airline on which you are ticketed to reach your destination. No refunds will be provided by Collegiate Athletic Travel for portions of trips missed due to canceled, rescheduled, or delayed flights after airport check-in, nor is Collegiate Athletic Travel responsible for any additional expenses you may incur prior to joining your trip if you miss your departure flight or flight connection. For air purchased through Collegiate Athletic Travel, if any air schedule requires an overnight stay in a gateway city, Collegiate Athletic Travel can assist you with hotel reservations; however, the cost of the overnight stay (including, but not limited to, hotel and meals) is your expense. Air routings are subject to availability. Routings are not guaranteed and are subject to change at any time.

If you make your own flight arrangements, Collegiate Athletic Travel will not be responsible for any loss resulting from cancellation or changes in itineraries or travel dates. We recommend that you do not purchase airline tickets with high penalty charges for changes. 

Baggage Allowance

Porterage at hotels for one suitcase per person is included in the tour price (where available) and if listed under the “Included Features” in the tour program. Airport porterage is not included, unless otherwise specified in your travel documents. Be prepared to carry your own suitcase on and off airplanes and through airports. 

Air carrier restrictions may vary from the limitations listed above. Size and weight limitations for carry-on and checked baggage vary from airline to airline and even according to destination. While making an air booking, you will be provided with baggage fee information. After booking an airline ticket, up-to-date information on carrier- specific standard checked baggage allowance (including size and weight limitations), the standard allowance (and fee, if applicable) for carry-on baggage, and the standard fee for the first and second checked bag, along with the information about additional discounts that may apply depending on flyer-specific factors (e.g., frequent flyer status, military, credit card used for purchase, or early purchase over the Internet, etc.), can be found on the carrier’s website.

Collegiate Athletic Travel is not responsible for additional fees imposed by air carriers for baggage, and these fees are not included in the air-inclusive tour price. You will be required to pay these fees directly to the airline at check-in. No responsibility is accepted by Collegiate Athletic Travel for loss of or damage to baggage or any of the traveler’s belongings throughout the duration of the tour. Travelers are strongly encouraged to not bring valuables such as jewelry and large amounts of cash. Any such valuables should not be left in baggage out of the control of the traveler.

 

Carry-on bags should not exceed the dimensions of 12" x 11" x 6". For safety reasons, wheeled carry-on bags are not suitable as hand luggage on motor coaches and mini-buses. Carry-on bags must be small enough to store in overhead bins or under the seat in front of you on motor coaches and other transportation.

Hotels

Traveler agrees to be responsible for all incidental charges incurred in excess of those covered by the package. Incidental charges can include food, beverages, telephone use, internet use, parking fees, and other hotel charges. All hotels require a credit card for incidental charges at time of check-in. Hotels expect departing guests to vacate rooms by the posted check-out time and arriving guests to check-in later than the posted check-in time. Most hotels do their best to minimize inconvenience and store luggage if one chooses to arrive early or depart late. 

Check-in times vary; Collegiate Athletic Travel cannot control or guarantee check-in times.

Itinerary Changes

All tour itineraries are subject to change taking into consideration specific circumstances in the destination out of Collegiate Athletic Travel's control.

The hotels listed on the website are intended to be used; however, hotels are not guaranteed. Collegiate Athletic Travel reserves the right to substitute other hotels than those listed on the itinerary pages. If a change becomes necessary for any reason, or hotel location changes within or outside itinerary cities, the hotel substituted will be of equivalent quality to those shown. No refunds are provided for hotel changes; full cancellation penalties, as noted above, apply.

Payments

Deposit: $250 per person is due upon registration

Final Payment: August 31, 2024

Final payments will automatically be charged to the card on file that was used for your deposit payment.

Payment may be made by credit card or check. Visa, Mastercard, American Express, and Discover are accepted. Credit card charges will appear on your statement from Collegiate Athletic Travel. 

Payment on any tour indicates you and all members of your traveling party have read and accepted these Terms & Conditions. 

Cancellations

Notice of cancellation must be received in writing. 

 

No refunds will be issued for cancellations unless the participant's hotel space and ticket is resold. If space is resold, participant will receive a full refund, less a $75 professional fee. No refunds will be issued for unused transportation or for other package inclusions not used by the participant.

Airline tickets are non-refundable once ticketed.

Refunds will not be given for unused travel services or other package inclusions not used by the participant. If cancellation by one of more travelers alters the room requirements of the remaining travelers, those still traveling will be required to pay a revised rate. We regret that we cannot make exceptions for personal emergencies. We request that you consider purchasing travel insurance.

Travel Insurance

In today’s changing travel environment, it’s important to protect your travel investment so you can relax and enjoy your trip. For your convenience we offer travel protection plans provided by Travel Guard Insurance Services. To cover pre-existing conditions, most policies must be purchased within 14 days of making your initial deposit. Travel protection insurance prices are based on your age and the trip cost. Disability & Special Needs

Collegiate Athletic Travel makes every effort to contract with providers of lodging, transportation and entertainment which fully comply with the Americans with Disabilities Act. If you have special travel or accommodation needs, you must notify us in writing as to the nature of that need. Collegiate Athletic Travel nor any of the providers of transportation, lodging or entertainment can attempt to provide special accommodations without advance notice. Passengers requiring special assistance, including without limitation those who permanently or periodically use a wheelchair, must be accompanied by someone who is fit and able to assist them, and who will be completely responsible for providing all required assistance. The right is reserved to decline to accept or retain any person as a member of this trip who, in the opinion of Collegiate Athletic Travel is unfit for travel or whose physical or mental condition may constitute a danger to themselves or to others on the trip.

Medical & Health

Rules across the country are changing and it appears that the easiest way to make sure you are allowed into venues is to obtain a COVID-19 vaccination prior to your trip. We fully respect those people who do not wish to be vaccinated, however, you do run the risk of paying for a tour and not being able to travel or attend events if a vaccination is required for entry. Your travel insurance and/or Collegiate Athletic Travel does not cover your investment if you are denied access because of vaccination requirements or you are unwilling to travel.

Domestic flights are currently maskless, however this may change

Collegiate Athletic Travel does not employ medical personnel. Any medical attention you require while traveling with Collegiate Athletic Travel must be sought through a local medical facility, if/when available, for diagnosis. All related charges are at your expense. Collegiate Athletic Travel cannot guarantee the availability of medical facilities or for the quality of the care or services.

Collegiate Athletic Travel reserves the right to remove or quarantine any passenger who shows signs of illness, or who poses a threat to the safety and health of other passengers. Removal or quarantine of passengers for any health, safety, or behavior-related assessment is at the sole discretion of Collegiate Athletic Travel. Any costs incurred for medical assessments, diagnosis and/or any other medically-related charges are your responsibility to pay and are due at time of services. Passengers will be allowed to rejoin Collegiate Athletic Travel with confirmed medical certification from a licensed health practitioner indicating you are able to travel without causing harm or posing a safety threat to other passengers.

Responsibility

This program is operated under the management of Collegiate Athletic Travel (CAT), 310 S. Burrowes St., State College, PA 16801. CAT serves only as an agent for the tour participant in regard to travel, whether by airline, motor coach, railroad or ship and assumes no liability for injury, damage, loss (including baggage and personal possessions), accident, delay, or irregularity which may be occasioned either by reason of defect in any vehicle or for any reason whatsoever, or through acts of default of any company engaged in conveying the participant or in carrying out the arrangements of the tour. CAT shall not be responsible for losses or additional expenses incurred by tour participants that result from weather or mechanical related delays of aircraft or other transport modes, sickness, weather, strike, government disorder, war, acts of God, quarantine, criminal acts, or other causes. Nor does CAT assume any liability for personal injury, damage to or loss of personal possessions, or accidents and/or delays that result from negligence, default or “failure to perform” on the part of any subcontracted travel or service provider. All such losses or expenses will be borne by the tour participant as tour rates provide only for arrangements as detailed on the website. CAT reserves the right to refuse to accept or retain any person as a member of the tour at anytime. CAT also reserves the right to substitute comparable accommodations and transportation and to make any changes in the itinerary where deemed necessary. In the event of insufficient participation, CAT reserves the right to cancel any or all parts of the tour and make appropriate refunds to the participants in accordance with applicable US Department of Transportation rules.​​
